AnkiMiner ("AnkiMiner", "we", "our", or "us") operates web, mobile, and API services that help learners turn images, videos, text, vocabulary selections, and generated media into Anki-compatible study decks (the "Service"). We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and the choices you have.
1. Who We Are

Where UK GDPR, EU GDPR, or similar privacy laws apply, we act as the data controller for the personal information described in this policy unless another notice says otherwise.
2. Information We Collect
We collect and process the following categories of data to deliver and improve the Service.
a. Information you provide directly
- Supabase authentication details such as your email address and password. Passwords are hashed by Supabase; we do not see your raw password.
- Files and inputs you submit, including images, videos, text, vocabulary selections, card templates, deck settings, custom prompts, and other learning material used to generate Anki cards.
- Requests you send to our support team.
b. Information related to usage
- Account profile details, card balance, subscription status, saved deck preferences, selected TTS voice, known vocabulary, kanji study items, generation history, download metadata, and other progress you create through the Service.
- Device and log information such as IP address, browser type, app environment, request metadata, and security events needed to operate, debug, and secure the Service.
c. Payment information
- Stripe processes payment card details when you purchase or manage a subscription. We receive purchase confirmations, invoice and subscription identifiers, credit/card entitlements, billing status, and metadata needed for accounting and customer support. We do not store full card numbers or CVC codes.
3. How We Use Your Information
- Authenticate you and keep your account secure.
- Transcribe uploaded learning material, identify vocabulary, generate card text, images, audio, and Anki-compatible deck exports, and sync your progress across devices.
- Save your vocabulary, card templates, deck settings, kanji study progress, and generation history when you choose to use those features.
- Process subscriptions, manage card balances, reconcile Stripe webhooks, and provide receipts or billing support.
- Communicate with you about service notices, updates, and support requests.
- Monitor and improve system performance, prevent abuse, troubleshoot errors, and comply with legal obligations.
Where required by law, we rely on one or more lawful bases: performance of a contract, legitimate interests such as improving and securing the Service, compliance with legal duties, or your consent.
4. AI Content Handling
Files, prompts, vocabulary selections, generated deck settings, and study responses you submit may be processed by our application and shared with AI providers, including Google Gemini and OpenAI, to transcribe source material, extract vocabulary, generate translations, create images, synthesize audio, and build Anki cards.
We instruct our AI providers to process this content only to provide the requested Service and do not permit them to use your API-submitted content to train their public models where provider controls allow this. Do not submit content that you do not have the right to use or that includes unnecessary sensitive personal information.
5. Third-Party Service Providers
We rely on trusted partners who process data on our behalf or as independent controllers for their own regulated services.

These providers maintain their own security and privacy programs. Where required, we use data-processing agreements and transfer mechanisms designed to align with GDPR and other applicable privacy regulations.
6. Data Retention
- Account and purchase records: retained while your account remains active and for as long as needed afterwards for tax, accounting, fraud prevention, dispute resolution, and legal compliance.
- Uploaded files, generated media, generation history, vocabulary, kanji cards, and saved preferences: kept until you delete them, request account deletion, or until periodic clean-up rules remove them. Some generated history may be retained for a limited period to support downloads and troubleshooting.
- Support communications: retained as long as necessary to address your request and maintain a record of our correspondence.
- Aggregated or anonymised analytics and operational metrics: may be retained without personal identifiers.
You may request deletion of your account and associated data at any time by contacting us.
7. International Transfers
Your personal information may be transferred to and stored in countries outside your home jurisdiction, including the United States. Where required, we rely on adequacy decisions, Standard Contractual Clauses, provider certification frameworks, or similar safeguards for these transfers.
8. Data Security
We implement administrative, technical, and physical safeguards designed to protect your information, including HTTPS/TLS encryption in transit, authentication checks for protected API routes, role-based access controls for administrative systems, server-side validation, logging, and monitoring. No system is perfectly secure, but we work to minimise risks and review our controls regularly.
9. Your Rights (UK/EU)
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account or restriction of certain processing activities.
- Object to processing carried out under legitimate interests.
- Receive your data in a portable format.
- Withdraw consent at any time where processing is based on consent.
- Lodge a complaint with your local supervisory authority.

10. Additional Rights for U.S. Residents

We do not sell personal data.

11. Cookies and Tracking Technologies
We use cookies, local storage, and similar technologies to keep you signed in, maintain Supabase sessions, remember preferences, support billing redirects, measure basic traffic or operational patterns, and provide essential functionality. You can control cookies through your browser settings; disabling them may affect Service functionality.
12. Updates to This Policy
We may update this Privacy Policy to reflect changes to our practices or for operational, legal, or regulatory reasons. We will post the updated version on this page with a new "Last updated" date. Material changes may be communicated through additional notice.
